Asia-Pacific Society for Physical Activity

The Asia-Pacific Society for Physical Activity brings together researchers, practitioners and policymakers to advance the science and practice of physical activity across the world’s most populous region. Founded in 2020, ASPA has quickly grown into a genuinely regional community, with members across the Asia-Pacific, six special interest groups and a thriving early-career network.

Its annual conference has become a fixture in the field โ€” Newcastle in 2025, Hong Kong in 2026 โ€” and the society’s open, multidisciplinary ethos makes it one of the most energetic member communities we work with.

The challenge

Academic conferences are unforgiving. Abstracts, registrations, payments, committees and delegates all have to run like clockwork against a fixed date that doesn’t move โ€” and getting it wrong in front of an international audience isn’t an option. For a volunteer-run society, that’s an enormous amount to coordinate.

For their 2025 conference in Newcastle โ€” the society’s first with a dedicated conference website โ€” ASPA needed a platform that could handle all of it reliably.

Our approach

We built ASPA’s 2025 conference website on the Membersites conference add-on โ€” a platform already proven the year before at ISPAH’s 2024 Paris congress โ€” with abstract management, delegate registration, e-commerce, committee management and more than a dozen bespoke conference tools, all in one place.

It worked โ€” and ASPA embraced it. More than 250 delegates came to Newcastle, the conference features were used in earnest, and the committee’s feedback throughout the event fed straight back into the platform.

On the back of that success, ASPA came straight back for 2026 โ€” the story continues in our Hong Kong case study.
